Engagement Team Internship Summer 2022

MassDOT’s goal is to provide employees with greater flexibility in when and where they work while continuing to execute MassDOT’s Safety and Customer Service Mission. Furthermore, MassDOT will be doing our part to lead by example in reducing congestion and greenhouse gas emissions by minimizing overall workplace commuting travel during peak hours through telework and schedule
flexibility.

This position has a high degree of remote flexibility once established in the role. The selected candidate will be expected to follow a hybrid work model that consists of both in-office and work from home days, as needed.

Position Summary:

The Engagement Team Intern will report to the Manager of Engagement and be responsible for supporting the organization-wide engagement programs for 3500+ employees. Successful interns in this role will take a continuous improvement approach, taking time to evaluate current processes, and partnering with HR Business Partners, Division Managers, and HR Analytics Team.

The responsibilities of this position are wide-ranging, with many different topics and types of activities/tasks, to help settle our key performance management (EPRS) end of year (fiscal) initiative. Therefore, an engagement team intern needs to be able to manage multiple time sensitive facets of the project with concurrent timelines and be very detail oriented, independent, pro-active, and organized. It is also critical for this person to be able to communicate effectively through written and verbal communications.

A successful intern in this role will be comfortable making recommendations to people in various roles and levels making suggestions for improvements. This role is primarily associated with the administration of our organization-wide Employee Performance Review System (EPRS)

Job Responsibilities:
  • Gain familiarity with the Performance Management /end of fiscal year objectives in HR at various stages of progress; get a thorough understanding of the goals of each phase of the project, the activities to be undertaken, project timelines, and the steps needed to move through the project stages to completion.
  • Develop, communicate, and manage work-flow processes for projects to provide cohesion among HR staff and internal partners.
  • Develop guidelines/procedures for tracking progress on each phase of the project.
  • Create, organize, and maintain databases from material received relating to the EPRS employee initiative.
  • Keep ongoing and accurate records of project data.
  • Communicate project data points to key stakeholders. 
  • Collaborate across teams to ensure systems for communication and documentation are up to date and accurate at all times.
  • Work with HR staff to design performance metrics to evaluate this project, while establishing standard operating procedures, and service level agreements.
  • Collect data from numerous sources and locations, electronically and paper, then imputing the collected data into one central database for analysis. 
  • Participate in team meetings, staff meetings, organization events and other duties as necessary.
  • Assist supervisors and employees when applicable with questions that arise related to the program.

Skills:
  • Attention to detail in developing databases using spreadsheets and on-line tools.
  • Possessing strong skills in dealing with confidential material while accessing employee records, and HR systems.
  • Ability to work in a fast paced, deadline-oriented environment, with multiple competing priorities/projects.
  • Ability to take direction and follow-up on time sensitive assignments
  • Strong communication (both verbal and written) and interpersonal skills.
  • Ability to develop ideas from scratch and develop ideas into concepts.
  • Ability to work effectively in a small and collaborative team in a hybrid work environment.
  • Document and analyze procedures and organizational standards.

Qualifications

Must be enrolled in a Bachelor's or graduate degree program for Fall 2022
