Medical Assistant/Receptionist

 

Welcome to Charm City Medical Center. We are an outpatient opioid treatment program in West Baltimore. We opened up about a year and half ago. We help clients facing substance abuse, psychiatric and mental health-related diseases/illnesses. We train our MAs on how to do everything on the job. We look for candidates who are ready to work in a fast-paced environment, have strong attention to detail, and can operate in a dynamic environment. Our MAs are a vital part of our organization, and the job description is listed below:

Patient Reception & Customer Service

  • Welcome all patients and visitors professionally.
  • Verify patient identity upon arrival.
  • Determine the purpose of each visit.
  • Check patients into the EMR/EHR.
  • Maintain efficient patient flow throughout the clinic.
  • Answer incoming telephone calls and patient inquiries promptly.
  • Monitor clinic communication systems throughout the day.
  • Provide appointment reminders and patient instructions..

Patient Intake & Registration

  • Complete new patient registration.
  • Verify demographic, insurance, and identification information.
  • Create and maintain patient profiles in Methasoft.
  • Capture and upload patient photographs.
  • Complete Front Desk Intake procedures.
  • Obtain electronic signatures for required documentation.
  • Coordinate intake progression with physicians and counselors.
  • Notify appropriate clinical staff of new patient arrivals.

Scheduling & Patient Coordination

  • Schedule physician, counselor, therapist, nursing, and intake appointments.
  • Coordinate same-day appointments whenever possible.
  • Manage appointment reminders.
  • Schedule follow-up visits.
  • Monitor provider schedules for availability.
  • Coordinate patient movement between departments.
  • Place and remove dosing holds when patients attend appointments.
  • Schedule missed counseling, therapy, and physician appointments.

Clinical Support

  • Record patient vital signs during intake.
  • Perform urine drug screen collections.
  • Conduct observed and non-observed collections as required.
  • Prepare, label, document, and refrigerate specimens.
  • Upload drug screen documentation into Methasoft.
  • Maintain urine tracking logs.
  • Coordinate laboratory specimen shipments.
  • Assist nursing staff with patient flow and operational support.
  • Prepare clinical supplies as needed.

Patient Monitoring & Case Coordination

  • Review patient alerts and flags during every check-in.
  • Create, update, and resolve patient flags.
  • Document absences and missed appointments.
  • Coordinate required follow-up visits.
  • Ensure patients complete required counseling, physician, and treatment appointments.
  • Assist with patient re-engagement after absences.
  • Support continuity of care through interdisciplinary communication.

Insurance & Compliance

  • Perform daily EVS eligibility verification.
  • Update insurance information.
  • Coordinate insurance follow-up for ineligible patients.
  • Fax required regulatory documents to partnering clinics.
  • Maintain HIPAA compliance at all times.
  • Secure confidential patient records.
  • Maintain accurate electronic documentation.

Administrative Operations

  • Complete daily opening procedures.
  • Complete daily closing procedures.
  • Monitor clinic equipment and report operational issues.
  • Process incoming and outgoing faxes.
  • Organize patient documentation.
  • Maintain operational logs and tracking spreadsheets.

Collaboration

  • Coordinate with physicians, nurses, counselors, therapists, HR, billing, and administration.
  • Communicate patient concerns promptly.
  • Support clinic workflow improvements.
  • Participate in team meetings and operational initiatives.
  • Maintain a patient-centered, collaborative work environment.
